Volunteer Thank-You Gifts

When your organization has an event, it is important to recognize those people who helped the event run smoothly, especially anyone who freely volunteered time. You may wish to give your volunteers a little gift to say “Thank You” for their efforts. When considering what to give your volunteers, there are a few things you may want to consider.

The first is figuring out from where the gifts are going to come. Large corporations may pay for gifts out of pocket, while smaller businesses and non-profit organizations often have the items donated from people or other companies within the community. Gift certificates or services are popular items to request when asking for donations. Many companies will freely give items as long as the company name is printed in the program or if you allow them to hang a banner. If you are going to approach local business owners, you may want to send them a letter in the mail, and then follow up in person or on the phone. If you are with a non-profit organization, try to give the business or person a tax receipt when possible and appropriate.

The second thing you will want to consider is what specific items to give your volunteers based upon the amount of time and level of involvement. Volunteers who only work the day of the event may only get a t-shirt. Many t-shirt printing companies will either donate or sell t-shirts at a reduced price for special events. Volunteers who were active in the planning stages would maybe get the t-shirt and a small gift certificate. The more time a volunteer gives, the better the gift.

However, it is easy to go overboard in gift giving. Remember that the volunteers aren’t giving their time for the gift they will receive at the end. However, this does not mean that you should not thank them at all. Even a simple thank-you note in the mail will be meaningful to your volunteers. It does not matter what the specific gift is as long as you make the effort to show your volunteers that you appreciate their efforts. When possible, all volunteers, as well as any one or any company that donated gift items, should be listed in the program for the event or recognized publicly. You do not have to read each individual’s name, but you should at least ask all of them to stand to be recognized. It is important to let your volunteers, as well as the rest of the community, know that your organization is appreciative of their efforts. You want your volunteers to keep giving their time to your organization, and you want to attract new volunteers for the next event.
